IT 510 Homework Activity Module Two Guidelines and Rubric Using Microsoft Project through your DreamSpark login, review the plan provided. The project plan is the initial draft based on the case. You will need to analyze the plan and make proper adjustments to meet the timeline requirements, as well as to ensure that resources are properly allocated. Additionally, you will add resource per hour costs so that you can include the estimate of cost for the project. Perform the following tasks and prepare a document that includes the answers to questions in the task list below:
1. Open the plan in Microsoft Project 2010 (to present).
2. Review the different project views. You can do this by using the drop down arrow on the Gantt Chart icon in the top left of the project menu. Review the Network Diagram, Resource Sheet, Task Summary, Resource Summary, and Timeline. Reviewing these different views provides further insight into the project schedule.
3. Return to Gantt Chart view. Notice the total duration is 56 days, which is more than two months. Ensure that AUTO SCHEDULE is selected for the project
and change the 14d tasks to 10d tasks. These tasks are: Fact Find, Review Existing System, Create Web Page Prototype, and Create iOS Prototype. You realized that you meant two weeks, but that is 10 days in a project and not 14 days. Your total duration is 48 days which is now very close to two months in length.
4. Go to the Resource Sheet. Notice the two resources that are red. These resources are assigned to more work than they have hours available to work. This
means they are over-allocated. Navigate to the Resource Summary view. In this view, you can see on the right grid the number of hours allocated per day. Where you see numbers in red is where there is an over-allocation. Note the tasks Fact Find and Review Existing System are over-allocations for both Project Manager and System Analyst. The tasks Review Solution Architecture and Validate Prototype are over-allocation for System Analyst. Tasks Determine Recommendation and Create Executive Presentation are over-allocation for Project Manager. For each listed task, note the number of hours in the Work column. Then double-click the task to get the Task Information panel. Click the Resources tab and for each listed resource, change their Units from 100% to 50%. Note, the change in the number of hours on the task after each change. Return to the Resource Sheet view and notice the resources are no longer in red.
5. Return back to the Gantt Chart. Notice the total duration was not changed, but the total work hours changed from 960 hours to 548 hours. Navigate to
Help in Microsoft Project, enter “Duration Unit Work Formula,” in the search. Review the details and answer the following question in a Word document. Use the heading “Resource Assignments.” Explain in 2–3 sentences: Why did the total duration remain the same and the work hours reduce when the Resource Units were changed from 100% to 50%?
6. Change to the Resource Sheet. For each resource, enter the associated hourly cost:
a) Project Manager - $50/h b) System Analyst - $50/h
c) Web Developer - $35/h d) Mobile Developer - $35/h
7. Change to the Gantt Chart and then change the Table to the Cost Table and answer the following questions in the Word document. Use the heading
“Project Cost.” Explain in 2–3 sentences: What is your total project cost? Referencing the “Duration Unit Work Formula,” explain how changes in this formula can change your total project cost during the execution of the project plan.
8. Go to the Project Menu and select Project Info. Take a screenshot and include this as the last item in the Word document.
9. Exit the Project file and submit your Word document.
